OneNote: Task List from Notes

12 minSlide 36 2-question quiz

Overview

What we are doing

The situation
Jordan Ekwueme's rough project notes from the week need to become a task list the team can use on Monday.
Your role
You are on the project team, and you keep the task list.
Your task
Use Copilot to build the task list without adding anything that is not in the notes.
Files you need
File 09 (09_Project_Notes.docx).
Done when
You have a table with columns for task, owner, due date, priority, and source note. It says “not stated” wherever the notes do not give the information.
Why it matters
An invented owner or due date sends someone chasing work nobody assigned. Not stated is the honest answer when the notes do not say.

Check before you finish

  • Does every task with no owner in the notes say “not stated”?

How to do it: the basic steps

4 steps, one screen each. Select the ? on a card for why the step is needed and what each entry does.

  1. Give OneNote the practice notes (Put the notes on a OneNote page)

Why: Copilot in OneNote reads the page you are on, so the notes must live on a page you own.

    1. Download 09_Project_Notes.docx
    2. OneNote
    3. New page
    4. Paste

Download 09_Project_Notes.docx from the Files step and open it. In OneNote (desktop or web) create a new page in any notebook, paste the whole text, and give the page a title.

  2. Turn notes into tasks without guessing (Run the task-list prompt)

Why: The prompt asks for a task table and says to write not stated for any missing owner, date or priority.

    1. Home
    2. Copilot
    3. Copy prompt
    4. Send

On the Home tab select Copilot to open the pane. Select Show the prompts below, copy the Task list prompt, paste, Send. No Copilot in your OneNote? Path B: the same prompt in Copilot Chat with the file 09 text.

  3. Find the note behind each task (Trace three tasks)

Why: A task that cannot be traced to a note was invented. Three traces show whether the table is trustworthy.

    1. Pick three tasks
    2. Find the note
    3. Compare wording

For three tasks in the table, find the note on the page it came from. Does the note really say that, with that owner and date?

  4. Decide what can go on a real list (Check and record)

Why: Only tasks with a traceable note and an honest not stated go forward.

    1. Every missing owner says not stated?
    2. Five Checks

Does every missing owner, date or priority say not stated? Run the Five Checks: Source, Verification, Context, Resilience, Authorized Owner. Then mark the lab steps done.

= why the step is needed and what each entry does. Like this = something you select or click. Like this = something you type or paste.

Microsoft changes these screens often; a label on your screen may differ slightly. If a button is missing, your organization may not have turned the feature on: use the Path B steps.

Where to click

  1. OneNote
  2. your file 09 page
  3. Home
  4. Copilot

Do it: step by step

Check off each step as you go. Your progress saves in this browser.

Prompts: weak vs strong

Follow the brackets. The detailed prompt is built from the four C.H.A.T. parts: [Context], [How come], [Assign task], and [Type of output]. Keep the labels when you paste it; Copilot reads them fine, and they help you check that each part is there.

Compare a vague prompt with a detailed, source-checkable prompt. The activity below separates the request from the Guardrails (limits you add, such as "cite the source" or "do not decide for a person") you need before use.

Task-list prompt

[Context] I shared Jordan Ekwueme's rough project notes.
[How come] I need to turn them into a task list without adding anything that is not in the notes.
[Assign task] Create a task list from the project notes I shared.
[Type of output] A table with these columns: task, owner, due date, priority, and the note it came from. Write "not stated" instead of guessing any owner or date.

Why the detailed version works (letter by letter)
  • CContext I shared Jordan Ekwueme's rough project notes
  • HHow come I need to turn them into a task list without adding anything that is not in the notes
  • AAssign task Create a task list from the project notes I shared
  • TType of output with these columns: task, owner, due date, priority, and the note it came from
  • GGuardrail: keep it off-limits Write "not stated" instead of guessing any owner or date

Quiz

1. A task in the notes has no owner. What should the task list say?
2. The notes say 'portal status - Sam?' What does that tell you?

Self-check only. Answers stay on your device.

Path B Text Pack and downloads

Download the practice files (Path A)

Path A (full access): these downloads are for you. Save them where Copilot can reach them (OneDrive for the Office app labs). Path B: nothing to download; the files are below as text, ready to paste. Path C: nothing to download; read the text below when you check sources.

Path B (Chat only): short steps

  1. Select Copy all files + prompts for this lab below, paste it into the chat, and select Send.
  2. For three tasks, find the note in file 09 below that each one came from.
